Privacy notice

The following privacy notice is a part of the application. Please obtain the necessary consents in advance to avoid delays in the registration process.

Summary:

We only collect information necessary to run the competition. Photos and videos may be taken during the competition and these will be used only to promote the competition. We may use anonymous statistical data to improve the competition and for pedagogical research purposes. We shall not pass your data to any third parties and you can withdraw your consent at any time.

Full Statement:

  • By completing the registration form, you (the teachers and students listed in the registration form) authorise the collection, storage, and processing of your personal data as set out below by the
    • Department of Chemistry, University of Cambridge (Lensfield Road, Cambridge, CB2 1EW),
    • Department of Chemistry, University of Oxford (Mansfield Road, Oxford, OX1 3TA),
    • current Cambridge and Oxford main organisers of the Chemistry Race.

Using your Personal Data

  • The Chemistry Race will use the personal data you provide to register your team for the competition and communicate with you about the Chemistry Race.
  • The participating teachers and students agree for their team name, their school and the competition results to be published at the competition closing ceremony and on the website of the competition.
  • Anonymised data may be used to improve accessibility to the competition, to analyse participation trends and for pedagogical research purposes.
  • The registering teacher and team leader agree to be contacted via our contact e-mail address on matters related to the competition.
  • We will only use your data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another related reason and that reason is compatible with the original purpose. If we need to use your data for an unrelated purpose, we will seek your consent to use it for that new purpose.

Storing your Personal Data

  • The personal data you provide will be stored for a period of 5 years from the date of registration.
  • This agreement also includes long-term storing of archive data for periods longer than the former limit. These include only the team names, schools, competition results and the number of final year students in each team. This data may be used internally to improve the competition.
  • It is possible to retract this agreement and have your data removed at any time by contacting the organisers at chemistryrace@ch.cam.ac.uk.

Sharing your Personal Data

  • Your personal data will not be forwarded to any other third parties other than those directly involved in the organisation of the Chemistry Race, for the purpose of running the event.

You have the right to:

  • Request access to the personal data we hold about you,
  • request correction of any data we hold about you,
  • request not to process their personal data until other requests of the participant are processed,
  • request to have their personal data forwarded to a third party,
  • request erasure of your data under certain circumstances (for example, if you consider that there is no good reason for us continuing to process it)
  • file a complaint to relevant authorities.

Depending on the circumstances and the nature of your request it may not be possible for us to do what you have asked, for example, where there is a statutory or contractual requirement for us to process your data and it would not be possible to fulfil our legal obligations if we were to stop.  Further information on your rights is available from the Information Commissioner’s Office (ICO).
